Workshops
Workshop submissions are now open!
As part of our IDCC26 programme, we invite submissions for running in-person workshops. Workshops are events taking place before the main IDCC conference. At IDCC26, all workshops will be held at the venue on Monday 16 February 2026.
These workshops have traditionally focused on exploration of current issues in digital curation, raising awareness of project outputs and/or practical hands-on training. If you have an established tool or working practice, we encourage you to apply and show everyone how it works.
The deadline to submit a workshop is 30 September 2025.
1. Workshop formats
You can submit a proposal for a half-day or full-day workshop.
1.1 Half Day workshops
Half-day workshops at the upcoming conference will take place either in the morning (09:00 – 12:00) or the afternoon (13:00 – 16:00). When submitting your proposal, you’re welcome to indicate a preferred time slot, though final scheduling will depend on overall availability. Each workshop will include a 15–30 minute coffee break, which can be timed to best suit your session’s flow. Lunch will be provided for all participants between 12:00 and 13:00.
1.2 Full Day workshops
Full-day workshops will run from 09:00 to 16:00 and will include a one-hour lunch break from 12:00 to 13:00. Two coffee breaks (15–30 minutes each) will also be provided—one in the morning and one in the afternoon. You’re welcome to schedule these breaks at times that best complement the flow of your workshop.
2. Workshop fee
Please note that you as the organiser are required to cover all the costs of the workshop - either via direct payment or by charging your attendees a registration fee. Payment will be processed via invoice from the University of Edinburgh with 30 days payment terms after invoice issuance.
Once your workshop has been accepted, and you have submitted your Workshop Confirmation Form by 21 September 2025, full payment will still be required even if you decide to cancel the event after this date.
2.1 Basic workshop fee
The basic workshop fee is:
- Full day – £3,000 with an additional cost of £65 per person over 20 delegates
- Half day – £2,500, with an additional cost of £60 per person over 20 delegates
The basic workshop fee covers:
- Room hire and setup (including projector and screen)
- Venue liaison
- Marketing and promotion to IDCC26 attendees
- Registration management
- Participant communications
- Catering for up to 20 delegates
- Printing of badges
2.2 Basic workshop fee
Minimum/maximum number of delegates:
The total number of delegates includes all participants and organisers and/or speakers attending in person.
Workshops have a fixed underlying charge which applies for up to 20 delegates, regardless of whether your final numbers are below this threshold. Additional delegates of over 20 will be charged extra, per delegate.
3. Funding options
You are required to cover all the workshop fees - either via direct payment or by charging a registration fee to the attendees.
Please state in the application if the workshop will be fully funded, partially funded (subsidised) or fully funded via charging fees to participants (see notes below).
- Fully funded: You can choose to pay for the workshop in full thus making it free for participants to attend. This is a popular format for workshops being run as part of funded projects or to promote products and services. You may wish to cap the total cost of the workshop by restricting the number of participants you are willing to accept. We will invoice you for the full workshop fee.
- Partially funded (Subsidised): You may choose to cover part of the workshop fee and pass on to participants a reduced fee. As the basic workshop fee must be covered, we will ask you to guarantee any shortfall if the appropriate amount is not raised.
- Participant fees: If you are unable to provide funds, participants will be charged entry fees. This is a popular format for training sessions. As the basic workshop fee must be covered, we will ask you to guarantee any shortfall if the appropriate amount is not raised.
4. Key dates
- Deadline for submitting your proposal is 30 September 2025.
- After the review process all notifications will be sent out early October 2025.
- If your workshop is accepted, you will receive a Workshop Confirmation Form, which will need to be returned by 2 November 2025.
- Workshop registration will open in November 2025.
