Workshop Submissions
Workshop submissions are now open!
We are excited to announce that workshop submissions are now open for IDCC2. All workshops will be scheduled for Tuesday, 9 February 2027, at the conference venue. Workshops offer a unique opportunity to explore current issues in digital curation, showcase project outputs, and provide hands-on training.
The deadline to submit a workshop is 31 July 2026.
1. Workshop formats
We invite proposals for half-day or full-day workshops.
Half-day workshops will take place either in the morning (09:00 – 12:00) or the afternoon (13:00 – 16:00), while full-day workshops will run from 09:00 to 16:00.
- Half-day workshops: 3 hours, including a 15–30-minute coffee break
- Full-day workshops: 7 hours, including a 1-hour lunch break and two 15–30-minute coffee breaks
2. Workshop fees
As the workshop organiser, you will be responsible for covering all costs associated with your workshop. This can be done through direct payment or by charging attendees a registration fee.
Workshop fees:
- Full day: Fixed fee of £3,000 (up to 20 delegates) + £55 per person for additional delegates
- Half-day: Fixed fee of £2,500 (up to 20 delegates) + £45 per person for additional delegates
The workshop fee includes:
- Room hire and setup
- Venue liaison
- Marketing and promotion
- Registration management
- Participant communications
- Catering for up to 20 delegates and
- Badge printing.
The total number of delegates includes all participants, organisers and/or speakers attending in person. Workshops have a fixed underlying charge which applies for up to 20 delegates, regardless of whether your final numbers are below this threshold.
Payment will be processed via invoice from the University of Edinburgh with 30 days payment terms after invoice issuance.
Once your workshop has been accepted, and you have submitted your Workshop Confirmation Form by 15 September 2026, full payment will still be required even if you decide to cancel the event after this date.
3. Funding options
You can choose to cover the workshop fees through one of the following options. Please state in the application if the workshop will be fully funded, partially funded or participant fee funded:
- Fully funded: You pay for the workshop in full, making it free for participants to attend
- Partially funded (subsidised): You cover part of the workshop fee and pass on a reduced fee to participants. We will ask you to guarantee any shortfall if the appropriate amount is not raised
- Participant fees: We charge attendees a registration fee to cover the workshop costs. We will ask you to guarantee any shortfall if the appropriate amount is not raised
4. Key dates

- Deadline for submitting your proposal is 31 July 2026
- After the review process all notifications will be sent out late August 2026
- If your workshop is accepted, you will receive a Workshop Confirmation Form, which will need to be returned by 15 September 2026
- Workshop registration will open in late September 2026
5. How to submit a workshop
Workshop proposals can be submitted via ConfTool: (you will need to create an account; you can log in with your password from previous years).
