Workshops
Workshop submissions are now closed
As part of our IDCC25 programme, we invite submissions for in-person and online workshops. Workshops are events taking place before the main IDCC conference, and next year will take place on Monday 17 February 2025.
In the past the workshops have focused on practical, hands-on work, often being used for training. If you have an established tool or working practice that yields results in the world of research data management, you are also welcome to submit an application and show everyone how it works!
The deadline to submit a workshop is 11 August 2024.
1. Workshop formats
This year we are offering organisers the opportunity to host a workshop in person or online.
1.1 In person
Half day (3 – 3.5 hours) or full day (7 – 8 hours).
- Half day workshops will include 1 coffee break (15 – 30 min) and a lunch (1 hour)
- Full day workshops will include 2 coffee breaks (15 – 30 min) and a lunch (1 hour)
1.2 Online (Zoom)
Online half day workshops (3 – 3.5 hours)
2. Workshop costs
Please note that you as the organiser are required to cover all the costs of the workshop - either via direct payment or by charging your attendees a registration fee. A fee will be charged in the case of cancellation.
2.1 In-person workshops
Full day – £4,000 with an additional cost of £80 per head over 20 delegates
Half day – £3,000, with an additional cost of £70 per head over 20 delegates
The in person workshop cost covers:
- Room hire and setup (including projector and screen)
- Venue liaison
- Marketing and promotion
- Registration management
- Participant communications
- Catering (includes morning and/or afternoon break and lunch for both half day and full day workshops) for up to 20 delegates
- Printing of badges
Minimum/maximum number of delegates:
The total number of delegates includes all participants and organisers and/or speakers attending in person.
In person workshops have a fixed underlying charge which applies for up to 20 delegates, regardless of whether your final numbers are below this threshold. Additional delegates of over 20 will be charged extra, per delegate.
2.2 Online workshops
Half day - £1,500
The online workshop fee covers:
- Zoom meeting set-up (using our licence)
- Marketing and promotion
- Registration management
- Participant communication
- Tech support for the workshop
3. Funding options
You are required to cover all the costs of the workshop - either via direct payment or by charging a registration fee. Please state if the workshop will be fully funded, partially funded (subsidised) or funded via participant fee (see notes below).
- Fully funded. You can choose to pay for the workshop in full thus making it free for participants to attend. This is a popular format for workshops being run as part of funded projects or to promote products and services. You may wish to cap the total cost of the workshop by restricting the number of participants you are willing to accept. We will invoice you for the cost of the workshop.
- Subsidised. You may choose to cover part of the cost of the workshop and pass on to participants a reduced fee. As the basic costs for running a workshop must be covered, we will ask you to guarantee any shortfall if the appropriate amount is not raised.
- Participant fees. If you are unable to provide funds, participants will be charged entry fees. This is a popular format for training sessions. As the basic costs for running a workshop must be covered, we will ask you to guarantee any shortfall if the appropriate amount is not raised.
